Overview
You may see the following warning on Microsoft 365 backup job runs:
Consider limiting protection to the latest file versions to reduce job traffic, duration, and the likelihood of throttling errors. For more details, see KB4816.
This warning is related to Veeam’s file version protection setting for SharePoint, OneDrive, and Teams files. Veeam introduced the option to protect only the latest file version to help reduce Microsoft 365 backup job traffic, shorten backup job duration, reduce storage consumption, and lower the chance of Microsoft throttling.
Cause
By default, some existing Microsoft 365 organizations may still be configured to protect all file versions. Protecting all versions can increase the amount of data and metadata that must be processed during backup jobs, which can increase backup duration and the likelihood of throttling errors.
Microsoft 365 throttling behavior is controlled by Microsoft, and Veeam recommends using the Latest version file protection option to reduce the impact of throttling during SharePoint, OneDrive, and Teams processing.
Resolution
To remove the warning, change the Microsoft 365 organization from protecting All versions to protecting only the Latest version.
- Log in to the CyberFortress portal.
- Click Services in the top menu.
- Select SaaS Backup & Recovery for Microsoft 365.
- Select the Microsoft 365 organization.
- Go to Settings.
- Select Backup Options.
- Under Files Protection, change the toggle from All versions to Latest version.
- Click Save.
After this change, future backup jobs will protect only the latest version of SharePoint, OneDrive, and Teams files.
Important Considerations
Changing this setting to Latest version means the backup job will protect only the latest available version of each file at the time the backup runs. If a file changes multiple times between backup runs, intermediate versions may not be protected. Veeam has noted that with typical daily backups, this results in one protected file version per day for files that change daily.
Existing restore points are not removed simply because this setting is changed. The setting affects how file versions are protected going forward.
If You Want to Keep All File Versions Protected
If you choose to keep All versions enabled, the warning may continue to appear on job runs. At this time, there is currently no known way to suppress this warning while continuing to protect all file versions.
There is an open feature request on the Veeam R&D Forums requesting a way to suppress the versioning warning. Customers who would like this option can create a Veeam R&D Forums account and give the initial post a thumbs up to show support for the request.
